Credit Hour Overload - Approval Workflow Guide

Body

  • When a student submits a Credit Hour Overload, the student's primary (first major) advisor will receive an email, shown below (Screenshot 1).
     
  • The first link in the email (denoted by a green '1' bubble in Screenshot 1) will bring you to where you can approve/deny the request (Screenshot 2). 
     
  • The second link in the email (denoted by a green '2' bubble in Screenshot 1) will bring you to a page where you can see the details associated with the request (Screenshot 3).  You can also view the details associated with the request by clicking on the highlighted link from the approval screen (Screenshot 2).  
     
  • After clicking 'Approve', you will be brought to your page where you can add optional comments to your approval, if desired (Screenshot 4). Click 'Save' to submit your approval. PLEASE NOTE: The comments you enter here will only be visible to you and Registrar's Office staff.  For guidance on how to enter comments that will visible to other approvers listed on the request, please see the section below, titled 'How to Enter Comments Visible to Other Approvers on the Request'.
     
  • After clicking 'Save' you will see a page with your approval submission confirmation

  • After advisor approval, the request will be routed to the department chair of the students first major, and then after approval from the chair, to the Dean's Office.

How to Enter Comments Visible to Other Approvers on the Request (and the Student, if desired)

On the request details screen (shown in Screenshot 3), scroll to the bottom of the page. Click 'Start New Conversation'

 

Then click the 'Notify All Users' icon.  Doing so will make the comments you enter here and save viewable by all other approvers on the request AND the student who submitted the request.  If you do not want the student to be able to view your comment, after clicking 'Notify All Users', manually remove the student (who will be labeled as the Requester) from the notification list.

 

 

Enter you comments and then click 'Save'
